The electronic case file (eFallakte) is a database developed by INBAS 2010-11 to aid with the advisory and support work in the QuABB program. It makes it possible to record all the data required for case documentation and consulting work and to output it via a serial print function into various documents such as consulting reports for ESF monitoring, release from duty of confidentiality, or a list of participants. In the statistics area of the database, the data are output cumulatively and can be exported for additional assessments.

The eFallakte is a tool that has been developed from practice and for the practice of training support. In 2015, the eFallakte was adapted for the "Erfolgreich ausgebildet" ("Trained successfully") consulting project in Baden-Württemberg. A further adapted version is to be used in the future in the Berlin project "Ausbildungsabbrüche präventiv vermeiden" ("Preventing training drop-outs").

Various procedures in the consultation process, such as obtaining consent for data storage and the feedback survey after the consultation has concluded, can easily be initiated digitally with the help of the eFallakte. Additional functions such as managing network partners, an appointment calendar, and automatic reminders further facilitate the consultation process. Since 2015, more than 16,000 cases have been documented in eFallakte. The digitalization of the consulting process is currently being advanced further. For example, the ability to upload documents and make appointments electronically have been integrated.
